How to run a speed-dating night

A great speed-dating night looks effortless from the inside. It is not: it is the result of a few decisions made before the night, and a host who is free to host because the logistics run themselves. Here is the checklist we use.

1. Decide the format and the size

Before anything else, choose between classic rounds (everyone switches at the same time) and a free format (guests accept a quick date whenever they like). Rounds feel structured and suit first-timers; a free format feels more natural and suits returning guests. Then choose a size you can actually host: 20 to 40 guests is comfortable for one host, more needs a second person on the floor.

2. Send the invitation early

Open sign-ups three to four weeks before the night. Decide whether the night is open to anyone with the link or limited to your own guest list, for example members of your community or past guests. A private invitation with your logo builds trust and keeps the night private.

3. Balance the room from day one

Set the number of places per gender before you share the link, not after. When one side fills up, new sign-ups go on a waiting list instead of being turned away, and get in automatically when a place opens. An unbalanced room is the number one reason guests leave disappointed. Read more in how to balance men and women at a singles event.

4. Get to know every guest before the night

The best introductions come from knowing what people want: friendship or a relationship, their values, their rhythm of life, and what is a must for them. With HelloHere, each guest spends about ten minutes with an AI Coach, and five quick answers are already enough for a compatibility score. Follow who is not ready yet and send reminders: three days and one day before the night are the moments that work best.

5. Offer a first look

Attraction matters, and pretending otherwise disappoints guests. A first look before the night, photos of compatible guests without names, lets everyone say who they would like to meet. Answers stay private and simply make the introductions better.

6. Confirm the day before

No-shows break the balance of the room. Ask every guest to confirm the day before; anyone who can no longer come frees their place for the waiting list.

7. Check guests in at the door

Arrivals tell you who is actually in the room, so introductions only include people who are there. Give each guest a warm welcome and a simple explanation of how the night works.

8. Reveal the introductions together

When the room is ready, reveal everyone's best introductions at the same moment. It creates a shared moment, a buzz in the room, and every guest knows who to talk to first. Keep your final say: you know your guests, so change any introduction that does not feel right.

9. Run the quick dates, and watch who is alone

Give every quick date a table and a countdown: 7 to 10 minutes is a good length. Set a minimum number of dates per guest and watch for anyone without a date for more than 15 minutes; introduce them yourself. A discreet way for guests to alert you privately is essential for safety.

10. End the night and follow up the next morning

Close the night clearly. After each quick date, guests say privately whether they would like to see the other person again; only mutual interest is revealed, so nobody is rejected in public. The next morning, look at your report: mutual matches, ratings and comments. It is your proof for the next night, and for your sponsors.

  • First look open until the reveal
  • Confirmations the day before
  • Check-in at the door
  • One reveal for everyone
  • Tables, countdown, minimum dates, nobody alone
  • Mutual matches only, report the next morning
